Build a calendar for each application

Record the intended entry date and year group first. Then add the application opening date, completion deadline, assessment arrangements, offer rounds and acceptance deadline. Add separate dates for financial aid, support assessment or a priority scheme where relevant.

Applying on time gives the school an opportunity to consider your child. It does not guarantee an interview or place: eligibility, suitability, priority rules and available capacity still matter. Keep an alternative that your family could realistically use.

School calendars and year-group placement

Use the calendar published by the individual school. Schools in the same city can follow different academic years, and an August intake is not interchangeable with a January intake. Fix the last day at the current school and the proposed first day at the next one.

Admissions teams set the year group from the child’s age and completed schooling. For a calendar change, ask how any repeated term or missed material will be handled. For older pupils, have subjects, coursework and graduation credits reviewed before accepting.

Current examples for 2027 entry

Hong Kong: ESF and HKIS

ESF’s primary and secondary admissions page lists September 1–30, 2026 for central applications to Year 1 and Year 7 for August 2027. Applications received after the window are treated as late and waitlisted by category and date. Supporting documents have a separate deadline. Follow the relevant year-group instructions; other entry years and learning-support placements can use different processes.

HKIS’s 2027–28 application schedule lists October 1, 2026 for Reception 1–Grade 5 and November 1 for Grades 6–12. Its optional debenture application deadline is also November 1. A debenture does not replace the student application or guarantee admission. Late applications may be considered individually.

Singapore: UWCSEA and SAS

UWCSEA uses an annual admissions cycle rather than a first-come queue. Its current timeline lists November 2, 2026 as the first-round application deadline, with offers in January 2027. Second-round deadlines are January 8 for boarding and February 1 for day applicants, with offers in March. Nominee applications and learning-support decisions have exceptions; check the appropriate route before relying on the general dates.

For January entry, UWCSEA currently lists eligible day applicants from K1 to Grade 10; boarding and Grade 11 are excluded. January 2027 applications are already closed. Future January places depend on vacancies, and subject options may be limited.

Singapore American School accepts forms and payments up to two years before the intended start. For August entry, its table opens supporting checklist submissions on January 1, then lists offers from mid-February for Lane 1 and mid-March for Lanes 2–4. An early form alone is not a complete application. The school’s introductory text summarises August offers as beginning in March; confirm the lane-specific timing with admissions.

SAS allows preschool–Grade 8 entry throughout the year where space is available. Grades 9–12 must arrive for the August or January semester start. Its waitpooled applications remain active for two years from receipt of the application fee, after which a fresh application is required.

Dubai: check the school’s intake and registration steps

Each school reports whether the intended grade is open, waitlisted or closed, and whether it has a fixed assessment cycle. “Rolling admissions” describes a process, not current availability. Application fees, offer deposits and refund rules are set school by school, not citywide. The Dubai guide links school options.

Doha and Muscat: confirm the current cycle

For Doha, tell admissions whether your child is arriving from overseas or transferring within Qatar, because registration and transfer approvals differ for each and depend on the start date. Transfer cutoffs in older school policies are not a current rule for every applicant. Start with the Doha guide and the receiving school.

In Muscat, schools differ in academic year and in whether applications go to the school or a central portal. One school published a January–February window for 2026 entry; 2027 dates are announced separately. See the Muscat guide for school options.

Track documents alongside the application

Ask for a checklist that separates application documents from requirements for final registration. Record who supplies each item, its accepted language and format, whether certification is required and the deadline. Reports and references may need to go directly from the current school.

For Dubai, Dubai British School Mira publishes transfer-certificate requirements and a country-based attestation table. It also describes manual registration while Emirates IDs are pending. The receiving school handles the details, particularly for local transfers and documents issued overseas; there is no universal one-month certificate validity period or one-year visa grace period.

Begin asking about documents early, but agree when final leaving records should be issued. Keep written confirmation that the receiving school has accepted the documents. Our moving checklist covers the wider preparation.

Plan around the exact start date

For an off-cycle move, ask whether the school can consider the grade, curriculum and intended date together. Some schools admit throughout the year; others restrict older pupils to semester starts or particular course entry points, and some offers depend on another family withdrawing.

Discuss any missed subjects, language options or coursework. Do not assume that staying within IB, British or American education makes a mid-course transfer straightforward; the receiving school should set out an individual academic plan.

If the preferred school cannot offer a place, compare the consequences of an alternative school, a different start date or a revised family moving schedule. Include the cost and disruption of a second transfer when considering a temporary placement.

Understand the policy and keep the application current

Some schools use a chronological waitlist; others keep a pool from which they select applicants. Find out whether sibling, citizenship, employer or other priorities apply, how long the application stays active and whether a renewal fee is required.

Keep contact details and requested reports up to date, and follow the school’s instructions for confirming continued interest. Prompt replies help you meet an offer deadline; repeated calls should not be presented as a way to move ahead of other families.

Apply to more than one school where that fits your circumstances and budget. Before paying to hold a place, read the acceptance, withdrawal and refund terms. Decline offers you do not intend to use. A sibling priority or paid nomination right should not be treated as a guaranteed place.

A planning calendar for an August 2027 move

Adjust this sequence to each school’s published deadlines. It is a planning example, not a requirement to wait until a particular month.

• September–October 2026: submit relevant fixed-window applications, including ESF’s September central application and HKIS primary applications by October 1. Discuss learning support and gather requested records.
• November–December 2026: complete remaining early deadlines, including HKIS secondary on November 1 and UWCSEA’s first round on November 2. Attend assessments when invited and check that each application is complete.
• January–March 2027: complete any applicable second-round applications and updated school reports. Monitor the published offer rounds and respond by the deadline in each offer letter.
• After accepting: confirm placement conditions, the complete fee commitment, support provision and withdrawal terms. Coordinate housing with the actual school journey or public-school registration requirements.
• Before departure: obtain final school records and any required transfer certificate, certification or translation, plus anything still needed for attendance.
• Before the first day: complete registration, attend orientation and confirm transport, timetable and the child’s contact person.
